Recurring visits and route CRM for a home services company
10-person cleaning and maintenance company, Metro Vancouver
A 10-person cleaning and maintenance company was using a generic booking tool that fell apart on recurring visits and crew routing. We built a custom CRM that builds the weekly schedule, routes the crew, and sends the customer notifications on its own.
Anonymized. Real project shape and outcome ranges, identifying details changed to protect client confidentiality.

The problem
Where they were stuck
The generic booking tool did not really do recurring visits.
Route routing was done by hand every morning.
Customer notifications went out only when someone remembered.
Quotes for one-off deep cleans sat quietly and often died.
The approach
What we built and why
- 1
Recurring schedule engine with per-customer cadence and crew.
- 2
Route routing per day, with the crew seeing the sequence on a phone.
- 3
Automatic on-the-way and complete notifications by text.
- 4
Follow-ups on open quotes at 3 and 7 days.
The result
What it actually did
Schedule build time dropped from about 4 hours a week to about 30 minutes.
Missed visits dropped about 70% because the schedule and reminders go out on their own.
Quote close rate climbed about 18% with the follow-ups running automatically.
The crew stopped calling the office for route questions.
